Patient Case Management for Treatment in Germany

One coordinated plan. One consistent contact throughout your agreed service period.

Seeking treatment in another country can mean navigating unfamiliar healthcare systems, communicating across languages, preparing medical documents, and coordinating with several providers.

MedicusTrip helps organize these non-clinical parts of your journey within an agreed scope, so you have a clearer plan, a consistent point of contact, and someone to help coordinate the practical steps involved in receiving treatment in Germany.

When Patient Case Management is included in your selected service, MedicusTrip provides a dedicated case contact to coordinate the agreed steps of your healthcare journey. The service scope, availability, service period, fees, and important exclusions are confirmed before paid work begins.

1. What Does Patient Case Management Mean at MedicusTrip?

Patient Case Management at MedicusTrip means coordinating the administrative, communication, documentation, and practical steps involved in a cross-border healthcare journey.

Your case contact becomes familiar with the information relevant to your agreed coordination scope, communicates with providers with your authorization, follows up on agreed requests, and keeps you informed about the next steps.

MedicusTrip Case Management is focused on coordination and practical support. It is not clinical case management. Diagnosis, medical suitability, treatment recommendations, informed consent, prescriptions, and clinical follow-up remain the responsibility of appropriately licensed physicians and other responsible healthcare providers.

2. Why Do International Patients Need Case Management?

Seeking treatment abroad is different from receiving care within a familiar healthcare system. International patients may face:

  • Unfamiliar healthcare systems and administrative processes
  • Language and communication barriers
  • Communication between multiple specialists, hospitals, and departments
  • Medical-document requirements across different countries
  • Coordination between treatment and rehabilitation
  • Uncertainty about practical next steps after treatment

3. How Your Case Contact Supports You

Your Case Management support depends on the service scope agreed with you. It may include coordination before, during, and after treatment.

Before Treatment

Medical Document Coordination: We receive and organise the medical information you submit for the agreed coordination purpose. If clinical interpretation or medical assessment is required, this is performed by an identified appropriately licensed physician, not by the case coordinator.

Specialist & Hospital Matching: We coordinate the matching process using the available case information, provider capabilities, practical requirements, and other relevant considerations. The final decision about whether a provider can accept a patient remains with that provider.

Provider Communication: With your knowledge and authorisation, we coordinate agreed communication with specialists, hospitals, and other healthcare providers.

Provider response times and availability remain outside MedicusTrip’s control.

Treatment Timeline & Practical Coordination: We maintain a working coordination timeline based on confirmed provider information.

Medical schedules, admission dates, treatment plans, and other clinical arrangements remain subject to confirmation by the responsible healthcare provider and may change.

Travel & Accommodation Coordination: Where included in your service, MedicusTrip may support requests for provider documents relevant to a visa application and coordinate agreed travel or accommodation information.

Visa decisions, travel bookings, entry requirements, insurance, cancellation policies, and other third-party matters remain the responsibility of the relevant authorities or providers.

During Treatment

Your MedicusTrip Point of Contact: During the agreed service period, your case contact remains your primary MedicusTrip contact according to the communication hours and response arrangements agreed with you.

Patient Case Management is not a 24-hour medical or emergency service.

Communication Between Providers: We facilitate agreed non-emergency communication between relevant departments, specialists, and care teams, subject to your authorisation and each provider’s processes.

Keeping You Informed: We help communicate available information clearly to you and, where authorised, to your family or another designated person.

Information may be shared with others only with your appropriate permission and in accordance with applicable privacy and confidentiality requirements.

Managing Changes: If treatment schedules or other arrangements change, we help coordinate the available information, follow up on agreed communication, and clarify the next practical steps.

Clinical decisions remain with the responsible healthcare providers.

After Treatment

Rehabilitation Coordination: We coordinate agreed rehabilitation enquiries and practical recovery planning based on recommendations from the responsible healthcare providers.

Clinical rehabilitation decisions remain with qualified healthcare professionals.

Communication With Your Physician at Home: With your authorisation and where the relevant providers participate, MedicusTrip can facilitate the transfer of agreed information between your German provider and your physician at home.

New symptoms, deterioration, or urgent medical concerns must always be directed to the responsible healthcare provider or local emergency service.

4. How Patient Case Management Works

01 — Submit a Free Initial Enquiry

Tell us about your situation and the type of support you are looking for. The initial enquiry is free.

02 — Confirm Your Service Scope

Before Patient Case Management begins, we confirm the intended coordination tasks, your designated case contact, communication arrangements, expected timeframe, applicable MedicusTrip fee, known third-party costs, and important exclusions.

03 — Build Your Coordination Plan

With your authorisation, your case contact coordinates the agreed provider enquiries, appointments, documents, and practical arrangements.

Provider acceptance, medical recommendations, treatment plans, prices, and dates must be confirmed by the responsible third parties.

04 — Coordinate During the Agreed Period

We remain involved for the service period stated in your agreement. If you need an additional service, an extension, or further post-treatment coordination, this can be discussed and agreed separately.

5. One Consistent Contact. Clearer Continuity.

When Patient Case Management is included in your service, MedicusTrip aims to provide one consistent primary case contact throughout the agreed service period.

Your case contact becomes familiar with your coordination plan and helps organize the agreed next steps, supported by the relevant MedicusTrip team members and external providers.

If a substitute is required because of availability, leave, language, expertise, or operational needs, the relevant case information is handed over through MedicusTrip’s authorized process.

6. What Does Patient Case Management Coordinate?

Healthcare Coordination

Coordination of specialist and hospital matching, appointment requests, treatment-plan follow-up, and authorized communication with healthcare providers.

Clinical assessment and treatment decisions remain with the responsible physicians and providers.

Document Coordination

Organization of submitted medical records, coordination of translation where agreed, and preparation of documents for provider review or admission.

Translation type, translator qualifications, fees, and provider acceptance are confirmed where relevant.

Travel & Logistics Coordination

Agreed support with provider-document requests, travel information, and accommodation options for patients and accompanying persons.

Bookings, cancellation terms, accessibility requirements, insurance, entry requirements, and costs must be confirmed with the relevant provider or authority.

In-Country Coordination

Agreed practical and communication support during the stated service hours and service period.

This does not replace hospital staff, clinical monitoring, emergency services, nursing care, or personal assistance unless specifically included in writing.

Rehabilitation Coordination

Researching and coordinating rehabilitation options in line with the responsible provider’s recommendations, patient preferences, availability, admission requirements, and confirmed costs.

Post-Treatment Coordination

Supporting agreed information transfer and follow-up requests after you return home.

MedicusTrip does not provide remote medical monitoring or assume responsibility for local clinical follow-up.

7. Who Can Benefit From Patient Case Management?

Patients with Complex or Multi-Stage Treatment Journeys

When several specialists, hospitals, or stages of care are involved, a consistent coordination contact can help organise confirmed tasks, responsibilities, and transitions.

Patients Travelling With Limited Personal Support

Case Management can provide coordination and practical guidance for patients travelling alone or with limited support.

It does not replace a medically required accompanying person, nursing care, guardianship, or personal assistance.

Patients Unfamiliar With the German Healthcare System

If you are unfamiliar with healthcare in Germany, a case contact can help explain available administrative information and coordinate agreed steps.

Patients Planning Extended Stays in Germany

For patients staying in Germany for several weeks, Case Management can help coordinate confirmed appointments, accommodation periods, rehabilitation transitions, and other agreed tasks.

The patient remains responsible for personal travel documents, insurance, payments, and compliance with provider and immigration requirements unless otherwise agreed.

8. Frequently Asked Questions

What does a dedicated case contact actually do?

Your case contact coordinates the non-clinical elements of your healthcare journey — communication, documentation, appointment follow-up, and practical support — within the scope agreed with you before paid work begins.

Will I have the same case contact throughout?

We aim to provide one consistent primary contact throughout the agreed service period. If an internal handover is required for operational reasons, the relevant case information is transferred through our authorized process.

Can my case contact communicate with my family?

Yes, where you have authorized this and provided the appropriate permissions. Information is shared only in accordance with applicable privacy and confidentiality requirements.

Can you coordinate with my doctor in my home country?

Where you have authorized this and where the relevant providers participate, MedicusTrip can facilitate the transfer of agreed information between your German provider and your physician at home.

Is case management only for orthopedic patients?

Orthopedics and rehabilitation are our core focus areas. We also support patients in other medical fields, depending on the medical question and provider availability.

When does case management begin?

After the service scope, fees, and important exclusions have been agreed with you — not from the initial enquiry alone.

What happens if something changes during my treatment?

Your case contact helps coordinate the available information, follows up on agreed communication, and clarifies the next practical steps when arrangements change.

Clinical decisions remain with the responsible healthcare providers.

Is there a cost?

The initial enquiry is free. Before paid coordination begins, we confirm the scope, fees, and exclusions clearly.
